At Iron & Ember Tours, we are committed to delivering exceptional, professionally organised motorcycle experiences. The following Terms & Conditions outline the responsibilities of both Iron & Ember Tours and our riders, ensuring clarity, fairness, and safety for everyone involved. By booking a tour with us, you confirm that you have read, understood, and agree to these terms.
Booking
Iron & Ember Tours is committed to delivering professionally organised, small-group motorcycle touring experiences. These Terms & Conditions set out the agreement between Iron & Ember Tours (“we”, “us”, “our”) and the person making the booking (“you”, “your”, “rider”). By confirming a booking, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
1 Booking and Payment
A booking is confirmed when:

A completed booking form is received; and
-
The required deposit payment has cleared.
The remaining balance must be paid in full no later than 30 days before the tour departure date, unless otherwise agreed in writing.
If the balance is not paid by the due date, we reserve the right to cancel your booking and retain your deposit.
All prices are quoted in GBP (£) and include only what is explicitly stated within the tour description.
2 Cancellations by you
All cancellations must be made in writing via email. Refunds are calculated from the date written notice is received.
Refund structure:

More than 60 days before departure
Deposit retained. Remaining balance refunded. -
60 to 30 days before departure
50% of the total tour price refunded. -
30 to 14 days before departure
25% of the total tour price refunded. -
Within 14 days of departure
100% of the tour price is payable. No refund will be issued.
We strongly recommend comprehensive travel insurance that includes cancellation cover.
Bookings are non-transferable unless agreed in writing.
3 Cancellation by Iron and Ember Tours
We reserve the right to cancel a tour due to:

Insufficient participant numbers
-
Adverse weather or unsafe road conditions
-
Government restrictions
-
Force majeure events
-
Any circumstance beyond our reasonable control
-
Safety concerns
If we cancel a tour:
-
A full refund of all monies paid will be issued; or
-
You may transfer to a future tour (subject to availability)
We are not responsible for additional costs such as travel, flights, accommodation outside tour dates, or equipment hire.
4 Rider Requirements
All riders must:

Hold a valid and appropriate motorcycle licence
-
Be legally permitted to ride in the UK (or relevant country for international tours)
-
Ensure their motorcycle is roadworthy, taxed (where applicable), insured, and MOT compliant
-
Carry appropriate documentation
We reserve the right to refuse participation if we reasonably believe:

A rider does not meet licence requirements
-
A motorcycle is unsafe
-
A rider’s ability presents a safety risk to themselves or others
No refund will be issued in such cases.
5 Health and Fitness
Riders must be physically and mentally capable of safely operating their motorcycle for extended periods.
You must disclose any medical condition that could reasonably affect your ability to ride safely.
We reserve the right to remove any rider whose health condition creates a safety risk.
6 Conduct and Behaviour
All riders must:

Obey all traffic laws

Ride responsibly and within their ability
-
Follow guide instructions
-
Respect other riders, accommodation providers, and the public
Dangerous riding, reckless behaviour, intoxication while riding, or disruptive conduct may result in immediate removal from the tour without refund.
7 Assumption of risk and liability
Motorcycle touring involves inherent risks including, but not limited to:

Road hazards
-
Weather conditions
-
Mechanical failure
-
Other road users
By booking, you acknowledge that:

You are voluntarily participating
-
You accept the inherent risks of motorcycling
-
You are responsible for your own riding decisions
Iron & Ember Tours shall not be liable for:

Personal injury
-
Loss or damage to property
-
Third-party claims
Except where caused by our proven negligence.
Participation is at your own risk.
8 Travel insurance
Comprehensive travel insurance is strongly recommended and should include:

Cancellation cover

Medical expenses
-
Personal liability
-
Motorcycle cover
-
Breakdown assistance (where applicable)
Iron & Ember Tours accepts no responsibility for losses that could have been covered by insurance.
9 Itinerary Changes
Routes, accommodation, activities, and experiences are subject to change due to:

Weather
-
Road closures
-
Mechanical issues
-
Supplier availability
-
Safety considerations
We reserve the right to amend itineraries where necessary. Comparable alternatives will be arranged where possible.
10 Accommodation
Accommodation is typically single occupancy as specified in the tour description unless booked otherwise.
Room preferences are requests only and cannot be guaranteed.
Any damages caused by a rider to accommodation are the rider’s responsibility.
11 Mechanical Breakdown
Each rider is responsible for the mechanical condition of their motorcycle.
In the event of breakdown:

We will provide reasonable assistance
-
Recovery costs and repairs remain the rider’s responsibility
The tour will continue as scheduled and cannot be delayed indefinitely.
12 Media and Photography
We may capture photographs and video content during tours for promotional purposes.
By participating, you consent to reasonable use of imagery unless you notify us in writing prior to departure.
13 Data Protection
Personal information is stored securely and used only for booking administration and communication.
We will not share your data with third parties except where necessary for delivering the tour.
14 Force Majeure
We shall not be liable for failure to perform obligations due to events beyond our reasonable control, including but not limited to:

Natural disasters

Government restrictions
-
Strikes
-
War
-
Severe weather
-
Pandemic-related restrictions
15 Governing Law
These Terms & Conditions are governed by the laws of Scotland.
Any disputes shall be subject to the exclusive jurisdiction of Scottish courts.
16 Rider Participation
16. Rider Waiver & Participation Agreement
By booking and participating in an Iron & Ember Tour, you agree to the following:
16.1 Voluntary Participation
You acknowledge that participation in a guided motorcycle tour is entirely voluntary. You understand that motorcycling is an inherently hazardous activity involving risks that may result in serious injury, permanent disability, or death.
You accept full responsibility for your decision to participate.
16.2 Assumption of Risk
You acknowledge and accept the inherent risks of motorcycle touring, including but not limited to:

Road surface conditions
-
Weather changes
-
Mechanical failure
-
Actions of other road users
-
Rider error
-
Fatigue
-
Remote locations with limited emergency access
You understand that no tour leader or organiser can eliminate these risks.
16.3 Personal Responsibility
You agree that:

You are solely responsible for your own riding decisions

You will ride within your own limits and ability
-
You are responsible for maintaining safe control of your motorcycle at all times

You will not rely on the tour guide to make riding decisions on your behalf
Iron & Ember Tours does not provide riding instruction.
16.4 Fitness to Participate
By joining the tour, you confirm that:

You are physically and mentally fit to operate a motorcycle safely

You are not under the influence of alcohol, drugs, or medication that would impair your ability to ride
-
You will inform us of any medical condition that may affect safe participation
We reserve the right to prevent participation if safety concerns arise.
16.5 Release of Liability
To the fullest extent permitted by law, you agree that Iron & Ember Tours, its directors, guides, and representatives shall not be liable for:

Personal injury

Death
-
Property damage
-
Financial loss
-
Third-party claims
Except where caused by proven negligence on our part.
This release applies to incidents occurring during:

Riding segments
-
Group activities
-
Accommodation stays
-
Organised experiences
-
Transfers or meet-up points
16.6 Indemnity
You agree to indemnify and hold harmless Iron & Ember Tours against claims, losses, damages, or liabilities arising from:

Your negligent riding

Breach of these Terms & Conditions

Damage caused by you to third parties or property
16.7 Compliance with Laws
You agree to comply with:

All local road traffic laws
-
Speed limits
-
Safety regulations
-
Instructions given by tour leaders for safety purposes
Failure to comply may result in removal from the tour without refund.
16.8 Acknowledgement
By completing your booking and attending the tour, you confirm that:

You have read and understood this Rider Waiver & Participation Agreement

You accept the risks associated with motorcycle touring

You release Iron & Ember Tours from liability except where legally required
18 Pricing Adjustments
We reserve the right to adjust tour pricing prior to final balance payment in the event of significant increases in accommodation costs, supplier charges, fuel prices, taxes, or other unavoidable operational costs beyond our control.
Any such increase will be communicated in writing. If you do not accept the revised price, you may cancel your booking and receive a full refund of monies paid.
19 Alcohol and Substance Abuse
Alcohol consumption is strictly prohibited prior to and during any riding segment of the tour.
If a rider is deemed unfit to ride safely due to alcohol, drugs, or impairment, they will not be permitted to participate in that day’s riding. No refund will be issued.
Illegal drug use at any point during the tour will result in immediate removal without refund.
20 Self Guided Riding Acknowledgement
Iron & Ember Tours provides guided route leadership only.
Each rider remains fully responsible for:

Their own navigation decisions

Compliance with road traffic laws
-
Maintaining safe riding distances
-
Independent riding judgement
Tour leaders do not control rider behaviour or assume responsibility for individual riding decisions.
21 Damage To Property
You are responsible for any damage caused by you to:

Accommodation
-
Equipment
-
Third-party property
-
Other riders’ property
Any costs incurred as a result of damage may be charged to you directly.
22 International Travel Requirements (If Applicable)
For tours outside the United Kingdom, riders are solely responsible for ensuring:

Valid passport and visa requirements

Compliance with local laws and regulations
-
Appropriate insurance coverage
-
Required motorcycle documentation
Iron & Ember Tours accepts no liability for refusal of entry due to failure to meet travel requirements.
23 Data Protection
Personal information provided to Iron & Ember Tours will be stored securely and used solely for:

Booking administration

Tour communication
-
Legal and safety requirements
We will not sell or share your data with third parties except where necessary for the delivery of the tour.
